Getting Started with Adminsoft Professional Practice - Administrators

Installation

We will need to install the software for you.  This can be done remotely using our remote support facility (provided you have a connection to the Internet).   Alternately we can do it during an on-site visit, usually in conjunction with configuration and initial training.

Configuration

Our software is very flexible, even with things like basic terminology.  It has extensive configuration settings to enable it to morph itself into a form that meets the special nuances of your operation.  It is considerably more efficient (and safer) for you to work together with Adminsoft staff to do all your initial configuration of the software.  We can do this with you either in an on-site visit, or using our remote support facility in conjunction with a telephone call.

Configuration settings that may need to be tweaked:

  • Terminology:  Clients (Customers), Jobs (Projects / Matters), Work Codes (Activities), Staff (Personnel), Principals (Directors / Partners), etc.
  • Job / Project Code Scheme:   Size, template, sub-jobs, etc.
  • Time & Cost Module:
    • Staff / Personnel:  Enter Directors, Job Managers, and other staff, set up "Staff Type", charge rates (and cost rates)
    • Work Code Scheme:   You usually select the most appropriate standard scheme during installation, but can change it as much as you like from there.
    • Default Invoice layout and other preferences
    • Advanced timesheet configuration:  How to handle adjustments - as Write-Up/Off and when sent back to Work-In-Progress
  • Debtors Module:   Current month and various preferences
  • Other productivity modules:  Document Admin, Job Scheduling, WorkFlow
  • Other Accounts modules (if applicable):   Creditors, General Ledger, AutoBank  (Chart of Accounts, etc.)
  • Transfers / synchronisation between two or more offices (if applicable)
  • Security permissions for respective staff

Data Import and Initial Data Entry

We are usually able to import the data from your old software (or web-hosted package such as Xero).  This can involve considerable work, so needs discussion well in advance of "going live".

Before you can start using the software live, you will need to import or enter the following foundational data:

  • Active Clients
  • Active Jobs / Projects
  • Current Staff who will be entering timesheets and using the software
  • Debtor opening balances (and perhaps outstanding invoices / transactions
  • If you are running the other accounts modules:
    • Creditors: Active Suppliers and any as yet unpaid invoices
    • General Ledger opening balances.  Note:  You can import all your past bank transactions for the financial year to-date (if these can be downloaded from your Internet banking facility)
