Main Menu and Utilities Library (v9.54 & v8.75):

  • Setup 'Standard User Defined Fields' for Sales Admin: Support for new Geocoding of Delivery Address
  • Enhance the geo-coding facility to also work with the Sales Admin module
  • Improvements to the software update mechanism
  • A number of small improvements to various parts of 'the engine-room'

Address Book (v8.10):

  • If have Street Postcode turned on (with geocoding), display this as part of the street address

Contents of July 2015 Release (on 16 Jul 15)

This was the roll-out of our "2015 Version" to all our normal users.  It had significant enhancements in several modules, that we had been working on (and testing with help from our test sites) for more than six months

Main Menu and Utilities Library (v9.52 & v8.73):

  • Emailing PDF copies of invoices (plus Quotes and Orders in SalesAdmin): automatically reposition the dates and Ref No sections to the right if they are specified as being on the left when printing on letterhead stationery
  • Improvements to Geo-coding of addresses and population of Job fields from LINZ
  • New 'User Defined Field' data type that links back to Address Book Contacts
  • New facility to specify an "Inactivity Timeout" setting, and automatically close out users if they exceed this. (The default is 2 hours)
  • Improvements to the HTML editing facility for standard email body configuration
  • Improvements to the handling of OLE errors when integrating with Outlook or other MS Office applications
  • Improvements to the handling of record conflicts - if made by the same user in another window
  • Text-merge (mailmerge) of salutation lists: Use the 'First Name' for individuals, if the Salutation is not filled in.
  • Restoring user preferences for window sizes and column order and widths in tables contained within them: Check that none of the preferences have become corrupted, and ensure that the window fits within the main application window.
  • Tweaks to the display of the System Clock facility (for Administrator Messages)
  • Improvements to the automatic closing of all open windows when you exit our software (or it is closed by an Administrator Schedule)
  • Improvements to our Web Updates facility - especially daylight saving issues when run in other parts of the world (time-zones)

Address Book (v8.07):

  • Improved Search facilities. If a phone number is not found in the main Client / Customer table, it searches through Contacts.
  • Improvements to the handling of Contacts - and access to these from other modules (such as Jobs / Projects)

Jobs Module (v5.12):

  • Jobs Module configuration: Increase maximum "Sub-code suffix"
  • Improvements to Geo-coding and populating parcel information from LINZ
  • If NZMG East or North are not filled in, use ParcelID to obtain values from QuickMap
  • Refresh all linked forms when click back onto the Jobs / Projects window, after doing other things (e.g. Timesheet entry or editing an invoice)

Time & Cost (v9.16):

  • Terminology: "Manual Invoice" renamed to "Free-form (Manual) Invoice" for less ambiguity
  • Significant improvements to the facility that checks and fixes "Timesheet v Invoice Integrity"
  • New integrity check for "End of Period Summary Invoices" (run as part of "Timesheet v Invoice Integrity")
  • Timesheet Write-off facility: Display additional information (oldest and most recent WIP timesheet, counts, fee and disbursement totals)
  • Slaved window to view timesheets (from Address Book or Jobs module): Several significant improvements
  • Invoice WIP total: Consistently include whole lines that have been sent back to WIP across all programs that re-calculate this
  • Invoice Editing: Improvements to facility that lets you edit the line Description in a full edit window. (plus trim any trailing whitespace from lines, as this can cause weird line wrapping when printing
  • Timesheet Detail Report: Show full Job Name in Group Headings
  • Fix bug in "Timesheet Write-off" facility at sites that don't use a "ClientID" field in the Address Book

Main Menu and Utilities Library:

  • Web updates:  Now tries a few tricks to obtain correct version if ISP is delivering an old copy that is out-of-date.
  • Better support for multi-company environments that share common tables but also have their own separate ones (e.g. Invoices and Debtors, separate security settings, etc.)
  • Check Links to Address Book: If links are empty but JobCode field exists, obtain them from the Job record
  • Validation when enter Email Addresses: Support for a list of two or more email addresses (e.g. Invoice to primary contact plus copy to Accounts Dept), display error messages for any problems that are encountered (so user can fix them).
  • Various other minor improvements

Time & Cost:

  • Update checks: Support multi-company environments, where Staff table is in the parent of the "Start In" folder
  • Calculating Invoice Totals: Re-instated our old logic for calculating WIP - but only update InvHead.WorkInProg if the invoice has not been finalized, or no subsequent invoices. (i.e. Only update InvHead->WorkInProg if we are confident that WIP timesheets have not been picked up into a subsequent invoice)
  • Editing Invoices: If the whole line is sent back to WIP, then add text into the line's description to document this (includes $ Amount)
  • Saving Timesheet Entry: Now allow lines to be kept that have zero value and time, but DO have a disbursement quantity

  • Web Update facility:  Install and update several new files associated with Geo-coding and integration with LINZ Data Services
  • Administrator facilities:
    • New "Who is currently using the software" reporting facility
    • Standard 'User Defined' Fields: 
      • New standard fields for Geo-coding (to both Jobs and Address Book databases),
      • New fields for Land Transfer / Surveyors:  NZGD2000 and NZTM2000, NZMG, Generic Lat & Long, Polygon and Areas

Main Menu and Utilities Library:

  • New facility to "geo-code" street addresses using Google Web Services
  • Several tweaks to the report engine
  • Several tweaks to the common engine behind opening various windows (including the main ones for respective modules)
  • Enhance info written to the Web Updates log file (AdminsoftWebUpdateHTTP.Log)
  • New "RebuildAllIndexHistory.log" that enables you to monitor your overnight re-index Windows Scheduler task

Jobs Module:

  • Some extra safety checks when fill-in the Staff Rate automatically
  • When closing the Jobs window, specifically close any slaved windows rather than leaving them to be closed automatically

Time & Cost:

  • Improvements to how it obtains the next invoice number when a number range is specified in the config. settings
  • Editing WorkCodes / Activities:  Added a "New" button (so don't have to use menu or F4 key)
  • Add time-outs to the messages that display when Timesheet Entry is closed automatically (to better support closing the software on all computers at a time specified by your system administrator - e.g. for overnight backup and re-index).

Debtors Module:

  • Display the "Last Statement Date" (on both Details and List pages)
  • Daily Banking Report:  Display receipts where GL code for the bank account is not filled in (can sometimes happen at sites that don't run our GL).

WorkFlow Module:

  • Saving note text that you have just edited:  Prune out any multiple space lines in the middle of a note (to remove unnecessary whitespace from note reports)
  • Improvements to "Summary To-Do List" and "Note Lists" reports

Doc Admin Module:

  • Improvements to automatic identification of Filing Folders for clients (if filed by Client Name)

Sales Admin Module:

  • Several minor changes

Main Menu and Utilities Library:

  • Improvements to text merge of MS Word templates.  Also ensure that drive letter is specified. (Otherwise Windows defaults it to Drive C: and couldn't find the template file.)
  • Fix bug in engine for data entry forms - was not detecting and saving some changes to memo fields (and updating date/time stamps so transferred between offices)
  • Significant improvements to how multiple forms are closed when you exit from the software
  • Improvements to closing out of the software after reporting a bug

Main Menu and Utilities Library:

  • New security setting to allow specified non-Administrators to run Software Updates (on start-up and from the "Help" menu)
  • New "Check for Software Updates" facility in the "Help" menu
  • Fix bug in Job filter page in wizards:  Display any Job Codes and Job Names immediately if specified as criteria in the previously saved definition.  (Before this fix, you had to tab through the fields to see their values.)
  • Fix a bug in the "Administrator Messages" facility, which sometimes generated an error message when forcing all users to quit out of the software.
  • Various minor improvements

Jobs Module:

  • Reduce the width of the "Job Status" display, and insert a caption of "Status" to the left of it

Time & Cost:

  • Spell Check while editing an invoice:  Fix bug - error occurred if description text was longer than 255 characters
  • Finalise an invoice without printing:  Ensure that date/time stamps are written (for sites that use our Transfer Facility)

Main Menu and Utilities Library (17 May):

  • Support scheduled overnight call to run "Check data structures for all modules" (Administrator menu) and "Reindex all files" (File menu) together in the one Windows Scheduler task
  • Lock Periods (from "Tools > Administrator" menu):  Added Timesheets, and rearranged the display order of respective modules.
  • Sign-on history report:  Option to exclude AutoTransfer entries if you are running the Transfer Facility
  • Fix bug we had accidentally introduced recently to the report engine, which affected some of the newer reports (that call the report engine in a slightly different way) such that they sometimes didn't automatically default to the optimal font size and paper orientation.
  • Exiting out of the software - fix small bug that was preventing it from clearing old records from the Error log file.

Address Book (17 May):

  • Enhance "Single Line Client Report" to give ability to select the columns to display, and automatically adjust column widths (and wrap addresses to a second line if required).

    • Avoid importing transactions twice if the bank changes the convention for field contents in subsequent bank statements.  (ANZ did this in March 2013:  TranTypes changed in normal bank accounts, and for VISA transactions Details4 now masks part of the vendor's Visa card number.)
    • Further tweaks to the logic while working on this, to make it as robust as possible
  • Check For Imported Twice:
    • Improve the technique for detecting duplicates
    • Cover the possibility of the bank changing its convention for TranType and other Details fields in subsequent bank statements
  • Improve the Debtor Integrity Check:  
    • Match any obvious single transactions that are unique for Date and Amount,
    • Improve the matching/checking of multiple records to a single one - e.g. if a debtor split an electronic payment into several components (due to an account limit) but the payment was already manually entered as a single transaction in the Debtors Ledger
    • Improve the matching of deposit batches to a single bank transaction when there are other (separate) Debtor deposits on the same day
  • Improve GL Integrity Check: 
    • Allow transfers between bank accounts to take up to 5 days (e.g. spanning Easter, Christmas, & New Year) - Previously was only 3, and it rejected some valid transfers
    • Improve SQL selection logic behind a safety check on Bank Reconciliation records (which was taking ages to run)

  • Added a new integrity check during import:  Cross-checks any transactions that have been previously imported (when the import file has an early start date), and report on any discrepancies.
  • "Check For Imported Twice" integrity check:  now reports on (and offers to fix) duplications due to the bank retrospectively changing Transaction Type of previously imported transactions
  • Fix bug in Debtors integrity check.  (It was clearing the "Multiple" flag if two or more cheques from the same client were deposited on the same day.)

Summary of major enhancements over recent years

The 2013 version (originally called 2012) was a very significant upgrade from the old 2008/9 version, and we had worked on it for several years (with the help of a number of specially selected test sites).  It utilised a completely new Microsoft runtime engine, and has numerous significant improvements and new features in the existing modules, and several completely new modules.  Click here for a summarised list of the most significant enhancements to existing modules, and a brief description of the new modules.
